Annual Conference Exhibitor Instructions


2025 HESNI ANNUAL CONFERENCE

MAY 8-9, 2025
NIU Conference Center, Naperville, IL

Our exhibit area at the NIU Conference Center in Naperville will span the large lobby area inside the building's main entrance and adjoining Main Exhibit Room. Additionally, we plan to include a few exhibits inside two smaller rooms, which will be used for lunch, coffee breaks and reception over both days of the Conference. We expect to include a maximum of 72 exhibits in these areas. Exhibit booth spaces are about 8 ft. x 8 ft. and include a 6-ft table, 2 chairs and electricity, if needed. Free Wi-Fi access will be furnished. Exhibit space is occupied by HESNI’s corporate sponsors — included in each sponsorship package. 

Exhibitors will be responsible for installing and dismantling their exhibits. The facility hall will be open from 8 a.m. to 4 p.m. on Wednesday, May 7, for setup. Exhibits are intended to be open both days of the Conference, 8 a.m. to 3:30 p.m. on Thursday and 8 a.m. to 1 p.m. on Friday. They should not be broken down before then. All exhibit material that cannot be hand carried should enter or exit the building through the loading dock, located on the east side of the building (to right of main entrance).

All exhibitors may register up to two people to staff their exhibit each day of the conference. Exhibitors do not need to pay a registration fee but must register using our Exhibitor Registration link. Additional individuals, however, will need to register as guests and pay the appropriate fee. While at the Conference, you may attend any of the seminars. Breakfast, lunch and refreshments will be provided both days. A social get-together will begin at the 3:30 p.m. reception on Thursday.

Booth Space Assignment A floor plan with booth space assignment locations will be completed and exhibits located on maps provided near the entrance and registration area. The Exhibitors section in the event mobile app will contain a link at the top of each exhibitor page that can display the respective booth number and location within one of the exhibit rooms. Every attempt will be made not to locate competitors next to each other.

A list of exhibitors will be displayed online and in the Conference phone app. We look forward to seeing everyone on May 8 and 9.
